Global Process Owner T&E

01. Issues & Challenges

→ 5 local SAP Concur instances to consolidate: technical and organisational migration complexity
→ ~15 countries involved with entity-specific processes, policies, and practices
→ Lack of group-level visibility on T&E spend: no consolidated reporting available
→ Need to define a global Core Model (Expense, Travel, Request, Invoice) applicable across all regions
→ Cutover coordination and secure decommissioning of local instances

02. Key Issues

The group was operating with 5 independent local SAP Concur instances covering around fifteen countries. Each entity managed its own Concur instance without consolidated group-level visibility, resulting in high licensing costs, process heterogeneity, and a total lack of group reporting.<br />
The transformation aimed to migrate these instances into a single global instance and define a T&E Core Model applicable across the entire group.

03. The SD Global Consulting Approach

→ Migration of the 5 local instances to a single global SAP Concur instance
→ Definition and rollout of the Global Core Model across Expense, Travel, Request, and Invoice modules
→ Harmonisation of T&E processes group-wide
→ Definition and deployment of the group Support Model
→ Cutover coordination to securely decommission local instances

04. Results & Impact

5 local instances consolidated into a single group instance
~15 countries migrated to the global Core Model
Reduced SAP Concur licensing costs through consolidation
Group-level visibility on T&E spend established for the first time
Expense, Travel, Request, and Invoice Core Model defined, documented, and deployed
